Team Lead Event Project Manager
at A house
The Events team is a team that works across multiple destinations but where each individual has a primary “home” destination but available to support events at other A houses as required. The Events team is responsible for the delivery of signed events and has the aim and objective of optimizing the house and ensuring that events are executed in the best possible way to deliver both customer satisfaction and profitability.
The role of Team Lead is responsible not only for own events but also for managing other event project leaders and coordinators and is a key person in the dialog between sales and event project managers. A role model for others in the team and leads / supports the team with priorities. You report to a House Director.
Main tasks
Project manage your own events
- Coordination before, during and after events
- Invoicing/feedback
Supervising project managers and event coordinators at A house destinations;
- In dialog with the sales team, distribute events from sales to the event team
- Support and mentor event project managers when needed
- Oversee staffing needs to ensure both delivery & appropriate workload
- Have 1-2-1 with all project managers at least once a month
- Convene regular event meetings / briefings
- Assign other tasks such as updating procedures or projects
Be spokesperson for A house event towards sales/management.
- Have a good understanding of the conditions and operation of the different buildings
- Have regular dialog with the respective House House manager / director
- Goods sold contact in ways of working
- Ensure the availability of a relevant staff of additional personnel
- Be a superuser in the systems from Event side and support in onboarding of new staff
- Come up with new ideas and initiatives to further improve the implementation of events at A house
Examples of other tasks
- Responsible for ensuring that event spaces are continuously clean, tidy, presentable and well-functioning – communicate needs & challenges to House Manager /Director
- Responsible for a good relationship with the members of the house together with the Community Manager
- Organize tours of the premises for potential event clients
- Beverage handling, ordering and storage
- Weekly reporting of the status of the tasks to the House Director
- Prioritizing customer satisfaction by developing service, content and follow-up
- Responsible for the functioning and order of the event premises
- Responsible for fire protection according to guidelines
- Ensure that closure and shell protection procedures are in place and maintained
- Responsible for the safety of staff and guests on the premises
- Responsible for ensuring that defined noise levels and rules of order are maintained
- Ensure that event venue information is correctly updated
- Ensure that the Front Desk and the other A house teams are updated on what events are taking place when in the house
- Be involved and supportive also in internal events as time allows
- For all event venues, the House Manager is overall
Competency requirements
- Background in project management
- Extra meritorious with experience in hotel/restaurant or event
- Knowledge of CRM systems & managing a sales process
- Knowledge of Office packages
- Works fluently in both Swedish and English
- Driving license is desirable but not required.
Education and training
- Have a relevant university degree or professional training in event sales and professional experience in the field
- Have at least 5 years of industry experience and of running your own projects in meetings & events or other relevant work experience

Staff responsibilities
- One or more direct reporting event coodinators / project managers
- Supervise and support other project leaders
- Book up staff and supervise other event staff & Lia trainees
Contacts and cooperation
- Requires good cooperation within the company, with customers and in external events, as well as the company’s other stakeholders. Have a good service mindset where the customer is the focus
Working conditions
- Freedom with responsibility. The work may require flexibility in terms of time and occasionally some irregular working hours where the project manager needs to be able to work when the client is at A house. They can be anything from early mornings, to late evenings or weekends.
Other
We currently have no workwear at A house. When you work, you have a dark top where our mirror pins get nice contrast. The clothes need to work for more hands on tasks as you may need to run around, lift, carry etc – so preferably something where you can move freely and still look dressed.
During working hours, you have your private phone put away.
All A house staff are expected to be pleasant, professional and to put the satisfaction of members and customers first. As the organization is small, all employees share the responsibility to take responsibility for handling things that otherwise risk falling through the cracks.
